Traditional EPM projects often check the boxes — on time, on budget, system live. But the real measure of success is whether the project fundamentally improves how the organization performs.
At Column5, we've spent two decades helping large enterprises transform their performance management capabilities. The introduction of AI has created a new opportunity — but also a new risk. Many vendors focus on speed and cost reduction. We believe the highest ROI comes from using AI to elevate quality, accelerate strategic value, and build lasting independence.
This is the core of our Flywheel Method.
How the Flywheel Works in Practice
The Flywheel Method creates an AI-driven self-reinforcing cycle:
- Train our AI tools to gather requirements — We prime Darwin AI's "context stack" with best practices – for Darwin, for processes, industries (if available), and technology products. We then add optional connectors called MCPs to gather information directly from your system – dramatically accelerating the process of getting informed on the status quo and desired improvements. Darwin challenges prospective customers to target higher value improvements, and optimal technology applications in a conversation style. This interaction can be done independently or guided with a consultant. Artifacts, conversation transcripts and more are captured in detail and retained for use throughout the lifecycle of the product.
- After the scope of the engagement is worked out to the customer's satisfaction, our team assigns an all-inclusive, fixed price and defines all steps in the process in a comprehensive proposal. This balance between value delivered and services investment is refined to meet the customers' exact expectations. Total transparency is the objective here.
- The development is done using Darwin AI's product to add development decisions made by an "LLM Council" – widely regarded as the gold standard approach for high quality outputs. The transcript of "Council debates" is stored to efficiently add that same quality output as Darwin AI consistently executes the configuration of the system in rapid timing. These decisions are governed by consultants acting as a human in the loop to ensure high quality. Any corrections the consultant makes modifies the retained transcript with the goal of creating long term value from consistent function – even when the consultant isn't present.
- Handovers and testing. The customer receives quick turnaround on the deliverables and can test and log additional improvements – again with the consultants or directly with Darwin AI. All prompts and conversations are logged for 100% knowledge retention.
- When testing is complete, the Darwin AI product – packed with all the pre-implementation knowledge, the implementation council transcripts and the best practices used in the implementation and available to add via Darwin's marketplace – a full power AI assistant that works on any supported LLM (customer's choice, customer purchased tokens – even several across the council) is handed deployed to the customer's landscape. This product is the ideal tool for users of various roles from reporting to power users, admins and other consultants to use for maximum efficiency, consistency and value.
- Customer achieves high independence by retaining all relevant knowledge, best practices, and learnings both during the implementation and ongoing to improve operating agility and even foster an independent ability to innovate – which we call innovation agility.
Why Most AI Initiatives Fall Short
Many AI projects deliver tactical wins but fail to create lasting transformation because they use AI for efficiency during the project, but do not apply benefits of AI to long term value:
- Automate yesterday's broken processes without challenging and nudging customers to elevate their process.
- Create new silos between tools – layering on AI without intention can further fragment the landscape.
- Leave teams dependent on consultants long-term as the knowledge walks out the door post project.
The Flywheel Method is different because it is deliberately designed around quality elevation and independence. How do we do this?
- Training — We include training that is based on the frame of reference where the customer is coming from, and what the new system changes for more efficient adoption.
- Documentation — Manuals can be generated on updated system configuration using the Darwin documentation skill – for roles like casual users, power users, administrators and IT staff.
- Process Improvement — The ability to track process timing/quality and increase over time.
- Optimization — Skills to progressively loop and optimize performance timing, code elegance and more.
Calculating True ROI
When evaluating AI-accelerated delivery, our advice is to look beyond hours saved or project fees. Consider:
- Cycle time reduction and its impact on decision speed
- Quality improvements in forecasting accuracy and reporting insight
- Analyst time redirected to high-value strategic work
- Reduced risk through better governance and auditability
- Long-term cost savings from greater self-sufficiency
- Is AI specialized and intentional in the solution or just a frontier model with relatively manual or limited connectivity?
Organizations that master the Flywheel see compounding returns that traditional projects simply cannot match.
At Column5, we don't just implement AI — we help clients build a performance management capability that continuously improves. That is where the real ROI lives.
